Voice notes to tasks: turn what you say into a to-do list

Record a voice note, get a transcript, and sort the transcript into tasks and notes. On iPhone and Pixel the transcript is built in; the sorting is the step you still do, by hand or with an assistant.

  • iPhone: Voice Memos transcribes on iPhone 12 or later and you can copy the transcript; Siri adds reminders directly ("Remind me tomorrow at 3:00 p.m. to call Tara").
  • Android: the Pixel Recorder app transcribes on the device and shares the transcript as text; Gemini adds tasks to Google Tasks by voice.
  • WhatsApp transcribes received voice notes on your device; a chat with yourself works as a capture inbox.
  • A say-it-once assistant (Amili, private beta) takes a voice note and sorts it into do and remember, with no copy step. Transcription still loses names, numbers and the word "not".

The one-sentence, two-things problem

Say this into any recorder: "Call the dentist to move the appointment to the 20th, and remember the new one is on Oak Street." One sentence, two different things. The first is a task with a date. The second is a fact you want to find in three weeks. A transcript gives you the sentence back as text. It does not split it. Every method below ends with that split, and the only question is who does it: you, with a pen, or an assistant that sorts.

iPhone: Voice Memos and Siri

Transcribe with Voice Memos. Apple's guide says speech in recordings is transcribed to text on iPhone 12 or later, in English, Spanish, Portuguese, Italian, French, German, Japanese, Korean, Simplified Chinese and Traditional Chinese, and not in every country. You can watch the transcription live by swiping up from the waveform. After recording, tap the recording, tap More, then "View Transcript" to copy part of it or "Copy Transcript" for all of it. (Apple support).

  1. Open Voice Memos, tap record, speak one item per breath.
  2. Stop, tap the recording, tap More, choose Copy Transcript.
  3. Paste into a note. Go line by line: task with a verb and date, or fact with today's date.
  4. For each task, create a reminder, or send the whole note to an assistant that sorts.

Skip the transcript for one task: Siri to Reminders. Apple's Reminders page lists phrases such as "Remind me tomorrow at 3:00 p.m. to call Tara", "Remind me when I get home to check the mail" and "Remind me to feed the dog every day at 7:30 a.m."; location reminders need your home and work addresses on your contact card (Apple support).

The example on iPhone: Siri handles "Remind me on the 20th to call the dentist" cleanly. The "Oak Street" fact has nowhere to go in Reminders, so it becomes a note, or it is lost.

Android: Recorder and Gemini

Transcribe with the Pixel Recorder app. Google's help page says Recorder creates transcriptions in the available languages, lets you set the transcription language under Recorder settings (Pixel 6 and later), lets you edit a word in a transcript, and can summarise a transcribed recording (Google support). To get the text out: touch and hold a recording, tap Share, then Transcript (.txt), or use More, Share, "Share transcript to Google Docs" (Google support).

Add tasks by voice with Gemini. With Google Workspace connected to the Gemini app and Keep Activity on, say "Remind me on [date] at [time] to [task]" or "Add [task] in my to-dos", and add "@Google Tasks" to force the destination (Google help). Notes and lists go to Google Keep with "Save this to Keep" (Google help).

The example on Android: say the whole sentence to Gemini and follow with "add the first part to my to-dos and save the second to Keep". That works, and it is the closest a general assistant gets to sorting.

WhatsApp voice notes as an inbox

Many people already talk to themselves in WhatsApp: a chat with your own number, voice notes all day. WhatsApp's announcement says voice message transcripts are generated on your device, so neither WhatsApp nor anyone else can read them, and you turn them on under Settings, Chats, Voice message transcripts (WhatsApp blog, November 2024). Only the receiver sees a transcript, which is fine when the receiver is you.

The routine: voice note to yourself when the thought comes; in the evening, long-press each note, transcribe, copy, and sort into your list and your notes. It is the lowest-friction capture on this page and the highest-friction sort, because nothing leaves WhatsApp on its own.

A say-it-once assistant

The copy-and-sort step is what an assistant built for capture removes. In Amili you say the sentence once, as text, a voice note or a photo, in Say; it sorts it into to do, to remember or just a thought; Do keeps only what needs you; Know keeps the fact and gives it back when you ask "where is the new dentist?" (how it works). The example lands as one task with a date and one fact, from one voice note, with nothing to copy.

The limits: Amili is a private beta from 14 October 2026, invitation only and free, with no public price. During the beta the maker of Amili and the AI agents he runs on Claude by Anthropic read along. It never spends money, never sends anything as you without your yes for that exact message, and never asks for passwords. Hands-free voice and sending tasks to Apple Reminders or Google Tasks are still coming, so today the voice note is something you record and add, and the task stays in Amili rather than in your phone's reminders app (amili.ai/llms.txt).

What gets lost in transcription?

Transcripts are good enough for sorting and bad for anything you act on without reading twice. The usual losses:

  • Names. "Call Tara" becomes "call Terra". Spell unusual names, or say the role: "call the roofer".
  • Numbers. "Fifteen" and "fifty", "the 13th" and "the 30th". Say the day name as well: "Thursday the 20th".
  • The word "not". "Do not book the Tuesday slot" with "not" dropped is the opposite instruction. Say "no Tuesday" instead.
  • Boundaries. Two items said in one breath come back as one run-on line. Pause, or say "next" between items.
  • Noise and speed. Slow down for the date and the name; the rest can be sloppy.

Read dated items back before trusting them.

Can Siri turn a voice memo into a reminder?

Not from a recording. Siri creates reminders from what you say to Siri directly, with phrases like "Remind me tomorrow at 3:00 p.m. to call Tara" (Apple support). A Voice Memos transcript has to be copied into Reminders or another app by you.

Is there a free voice-to-text to-do list app?

The built-in route is free: Voice Memos plus Reminders on iPhone, Recorder plus Google Tasks via Gemini on Pixel, both verified above as of October 2026. Does transcription happen on my phone or in the cloud?

WhatsApp says its transcripts are generated on the device. Google's Recorder help page says it sends audio to an on-device service to transcribe. Apple's Voice Memos page lists device requirements (iPhone 12 or later) but no sentence stating where processing happens was found, so no claim is made here.
